Practice Policies

The following policies are designed to ensure clarity, consistency, and the highest quality of care. They outline scheduling expectations, communication guidelines, and general practice procedures. Please review these policies prior to your appointment.


Appointments and Scheduling

  • Appointments are scheduled in advance and are reserved specifically for you.
  • For on-site care, please arrive 15 minutes prior to your appointment to complete paperwork and ensure the full use of your scheduled session.
  • For virtual care, please ensure you are logged on prior to the start of your scheduled session.
  • Late arrivals may result in a shortened session.

Cancellation and No-Show Policy

Appointments involve reserving dedicated time that cannot typically be filled on short notice. In particular, neuropsychological testing appointments commonly reserve extended blocks of time.

A cancellation is defined as notice provided in advance that you will be unable to attend a scheduled appointment. Cancellation timing is calculated based on the scheduled appointment start time. Notice provided outside of the required time window (24 hours for psychotherapy services and 48 hours for neuropsychological services) is considered a late cancellation.

Cancellations should be made during business hours whenever possible. Messages received outside of business hours will be considered received on the next business day.

A no-show is defined as failure to attend a scheduled appointment without prior notice. This includes arrival more than 20 minutes late for standard appointments, or more than 30 minutes late for extended neuropsychological testing appointments. At these time points, the service cannot likely be meaningfully completed.

Neuropsychological Services

  • Less than 48 hours’ notice may result in:
    • $150 fee (interview or feedback sessions)
    • $300 fee (testing appointments)
  • No-shows may be billed at the full reserved time value

Psychotherapy Services

  • Less than 24 hours’ notice may result in a $50 fee
  • No-shows may be billed at the full session rate

One-time exceptions may be considered in extenuating circumstances.


Fees and Payment

  • Payment is due at the time of service unless otherwise arranged.
  • Documentation for out-of-network reimbursement can be provided upon request.

Confidentiality

Your privacy is important. Information shared during services is kept confidential in accordance with applicable laws and professional standards, with the following exceptions:

  • Risk of harm to yourself or others
  • Suspected abuse or neglect as required by law
  • Court orders or other legal requirements

Communication

  • Non-urgent communication may occur through the patient portal.
  • The patient portal should not be used for emergencies.
  • This practice does not provide emergency mental health services.
